Before the first settlement

Compare the definitions below against the published terms of a platform built to convert crypto to fiat.

Ask the relationship manager, in writing:

  • Does the bank accept inbound payments from licensed crypto asset service providers
  • Is advance notice required above any threshold, and what is it
  • Is there documentation the bank would want on file in advance
  • Are there restrictions by currency or by sending jurisdiction

A vague question produces a vague answer. These produce something usable.

Documents to hold, per conversion

  • Evidence of how the crypto was acquired, or the client invoice it settles
  • Statements from the venue where it was held, showing ownership
  • The provider’s conversion record: asset, quantity, rate, gross, fee, net
  • The transfer confirmation

Filed together, per conversion. Assembled at the time rather than reconstructed afterwards.

Advance notice template

A short message stating: the approximate amount, the expected date, the sending institution and its regulatory status, and the underlying activity giving rise to the funds. Fund administration adds its own vocabulary, which an exchange that publishes its full fee schedule documents.

Banks rarely act against something they were told about. Almost every account closure reported in this context involved an unexpected payment.

Requirements the bank will check

  • The beneficiary name matches the account exactly, including legal form suffix
  • The amount is consistent with the account’s normal activity, or was notified
  • The sending institution is identifiable and, ideally, authorised
  • Funds are not immediately transferred onward

If the answer is no

The remedy is a second banking relationship with an institution holding an explicit policy, not an appeal.

Several institutions now publish acceptance of business from authorised crypto providers.

If an account is closed

Notice periods are typically thirty to sixty days with the balance returned.

An explanation may not be available. Where a bank has filed a report with a financial intelligence unit, it is generally prohibited from disclosing that, which is why closures cite commercial reasons.

Open a replacement before the notice expires and describe the activity accurately, because concealing it produces the same outcome at the new institution. Definitions matter less than arrangements. The balance you hold belongs at the list of countries covered rather than wherever the terminology sounded most reassuring.
