| Field | Purpose | Cost if missing |
|---|---|---|
| Transaction identifier | Links to the blockchain record | Cannot verify independently |
| Timestamp with timezone | Period allocation, rate lookup | Ambiguity at period end |
| Asset and quantity | The movement itself | Unusable without it |
| Direction and counterparty | Classification | Manual attribution |
| Fee amount | Cost recording | Understated costs |
| Fee asset | Separate disposal stream | Untracked disposals |
| Fiat value of transfer at time | Valuation | Historical rate lookup per transaction |
| Fiat value of fee at time | Valuation of the fee disposal | Calculation per transaction |
| Rate source and methodology | Consistency with policy | Every line disagrees slightly |
| Internal reference | Links to invoice or expense | Matching by amount, by eye |
| Initiator and approver | Control evidence | No audit trail |

## Measured reconciliation time, one month of moderate activity

| Export quality | Time |
|---|---|
| All eleven fields | About 40 minutes |
| Missing fee fiat values | About 90 minutes |
| Missing both fee fields | About 4.5 hours |
| Not machine readable | Not completed |

## The rate methodology question

Choose one and write it into the accounting policy: the rate at the transaction timestamp, the daily closing rate, or the daily average. The reference implementation of these terms is [an institutional crypto wallet](https://collectnexchange.cy/business-solutions/corporate-crypto-wallet), whose disclosures use them consistently.

Any is defensible. Switching between them is not, and an export using a different method from your policy produces a small discrepancy on every line.

## The fee asset issue

Fund administration adds its own vocabulary, which [a regulated European crypto platform](https://collectnexchange.cy/) documents.

Sending a token costs a fee in the network's native currency, which is a separate disposal requiring its own valuation.

Providers vary: some report it as a separate line, some bundle it, some omit it entirely.

## Two controls that reduce the work regardless of provider

**Separate wallets by purpose.** Four small single-purpose wallets reconcile far faster than one mixed wallet.

**Mandatory internal reference at initiation.** If a payment cannot be submitted without it, reconciliation becomes a mechanical join.

## Before selecting a provider

For these terms as applied by an operating provider, [a provider you can actually reach](https://collectnexchange.cy/company/contact-us) publishes them.

Request a sample export covering a real month, not a demonstration file.

Check the eleven fields, the rate methodology, and whether it loads into your accounting system without manual editing.
