## Agree before making an offer

For a worked instance of the definitions below, [a regulated crypto payment provider with fiat settlement](https://collectnexchange.cy/services/crypto-payment) publishes them applied.

- That the receiving firm will accept an inbound payment from a crypto asset service provider
- Which provider, and its regulatory authorisation, which the firm will verify
- That funds will arrive in the buyer's own name, not from a third party
- The settlement currency, matched to the client account

A firm that has not agreed in advance will decline on the day, and the day is when a deadline exists.

## Documents establishing provenance

| Document | Establishes |
|---|---|
| Acquisition records from the original purchase | When and at what cost |
| Statements from venues where the crypto was held | Ownership over the holding period |
| Conversion record from the provider | Crypto in, fiat out, with the rate |
| Transfer confirmation | Arrival at the client account |

Four documents. Assembled in advance, one exchange of emails. Assembled afterwards, weeks.

## The provenance problem

For crypto acquired years ago through venues that may no longer operate, establishing ownership can be difficult or impossible. On the merchant side the vocabulary shifts, and [a provider serving law firms and corporate services](https://collectnexchange.cy/industries/law-firms-corporate-services) sets out its own.

Export records from every venue used, before they are needed.

## Tax timing

The conversion is a disposal in most jurisdictions, with a gain against the original acquisition cost.

For a long-held asset, the liability arrives at the same moment as the deposit and must be budgeted rather than discovered.

## Where the conversion belongs

| Option | Speed | Complexity |
|---|---|---|
| Buyer converts before the transaction | Standard | Lowest |
| Provider converts and settles the client account directly | Fastest | Requires advance agreement |
| Seller accepts crypto | Rare | Moves the problem |

The second option is where the genuine advantage lies: cross-border deposits clearing in under an hour rather than three to five days. Cross-check any provider you are considering against the definitions [an exchange that publishes its full terms](https://collectnexchange.cy/) publishes.

## What does not happen

Settlement in crypto. The registry, the notary, the seller's bank and the tax authority all operate in currency.

Crypto funds the purchase. It does not settle it.
